Introduction:
Problem is an unavoidable fact of life. However, a method needs to be found on how to solve a problem. For solving; clearly defining the problem is the 1st step followed by analytical thinking leading to finding options of solutions and then choosing the most appropriate solution beneficial on the criteria of cost & benefit. Then the next stage is critical evaluation of a solution and it must be made to find it’s usefulness in terms of time spent on it and helpful results achieved there on.
Objectives:
The first step is to study the background of problem and relating it with past and present experience
Needs of all the parties who are concerned and affected in a problem have to be understood well. Namely the beneficiaries of a decision whose expectations need to be listed then it is vital to find root cause of the problem through structured method
Evaluation of most efficient solution will be done by keeping in view the priorities in terms of time, relevance & costs including fixed & variable costs
Contents:
The problem solving and decision-making steps will be completed by all Stakeholders without being judgmental with open minds in a recommended time span of 40 minutes as explained below:
Noting of concerns = 10 minutes
Problem statement and background = 5 minutes
Idea generation and idea selection = 10 minutes
Benefits analysis + working on critical parameters = 10 minutes
Choosing action plan = 5 minutes
The phases of problem solving will include:
Orientation
Discussion
Evaluation
Decision
Implementation
All types of inhibitions, fears & apprehension must be prevented.
Methodology:
Following methodology is through delegation & statistical aggregation & recommended for using in sequential manner:
Gathering Real Time Data, Exchanging Views & Processing of information,
Following steps are next recommended:
Applying focused attention for identifying the causes for understanding by all concerned & affected by the problem
deciding the countermeasure for finding optimal solution
After choosing the option to decide steps for implementing the solution.
Decide to choose among typical models of problem solving: autocratic or consultative or paternalistic or free for all.
Typical choice selection methods are: voting or consensus through group discussion or random choice
Care needs to be taken to prevent emotion led decision-making such as: gut feeling or impressionistic or prejudiced thinking
Takeaways:
While making a decision the operating cost + ratio between input and output for achieving higher productivity to be chosen through consensus for aligning with Company’s Vision, Objectives, Mission & Goals
Participants will understand use of rational decision-making process by Tackling: uncertainty, preservation of values & profitability
While choosing the Goals the principles of applying the “SMART” Technique will be ensured by all:
S – Specific
M – Measurable
A – Agreeable and Adopted by all stakeholders,
R – Realistic &
T – Timebound
The Rule based problem solving design will be learnt by all namely: choosing a working style to follow the principles for sticking to the agenda & using Inference Engine to Pattern Matching to finally using Execution Engine.
Next all-weather plan will be followed for robustness in 3 stages as below:
Connect the problem with needs
Identify ways to reduce, eliminate critical uncertainties, risks & short falls
With the help of above methods Short Term + Mid Term + Long Term plans can be safely drawn up by carefully working on the following:
Internal failure causes
External failure causes
Appraisal cost & prevention cost
